Oral and Poster Presentation Guidelines

 

Oral Presentations

Thursday, 8 September – Monday, 12 September Grand Ballroom CD, Level 2

 

  • It is important that we stay on time, so please plan accordingly. Oral abstract presenters will have 11 minutes to present, followed by 3 minutes of question and answer. Please ensure that your presentation fits within the allotted time. A digital timer will be displayed at the podium, and monitored by the Session Chairs. Strict time limits will be adhered to.
  • Please try to sit towards the front of the ballroom in the session in which you present. The Session Chairs will introduce your presentation as well as monitor the length of the presentation. When the presenter before you takes the stage, please go to the audio visual tech table for assistance with a wireless lapel microphone. All mobile phones must be turned off while you are presenting. Mobile phones on silent will cause feedback with the microphones.
  • On stage at the podium, a computer monitor and a wireless mouse/slide advancer will be available for your use. Please use the mouse to point to areas on the monitor screen which will in lieu of turning to use a laser pointer (which will not be provided) on the big screens.
  • A mock stage set will be available in the Speaker Check-In room to help you become familiar with the arrangement.

 

Speaker Check-In

Thursday, 8 September – Sunday, 11 September Aspen Room, Level 2

 

All oral abstract presenters must submit their final presentation at Speaker Check-In during the designated dates and times listed below. This schedule is in place to ensure that all sessions run smoothly. Failure to submit your presentation during the scheduled time frame may result in missing graphics for your presentation. Presentations may be submitted on a CD or USB stick.

Computers will be provided by the Symposium and will be equipped with the following: Mac computers with Mac OS 10.6 and Microsoft Office Mac Pro 2008, and PCs with Windows XP Pro and Microsoft Office. Please note that personal laptops may not be used.

Poster space is 4 ft. x 4 ft. (122 cm. x 122 cm.) with a tackable surface of 45 in. x 45 in. (114 cm. x 114 cm.). Push pins will be provided by the Symposium.

Please remember to retrieve your poster before 14:30 on Sunday, 11 September. The Symposium cannot be responsible for returning posters to their authors after this time.

 

Poster Presentation Tips

  • Posters should be easy to read at a distance of 5 feet (1.5 meters).
  • A poster printed on one large sheet of matter or semi-gloss paper is ideal.
  • Include the title of the presentation in large letters, the author’s names and the institution(s) where the work was completed at the top of the poster.
  • Poster numbers will be provided onsite and will be placed above your poster, so you do not need to leave space on your poster for your poster number.
